Job summary

Tailor Made are excited to be working exclusively with a well-established case management company located in Colne. They are seeking a Case Management Administrator to join their busy team. This is an excellent opportunity for someone who has previously working in a care environment and is looking for career progression. This is a temporary to permanent role. You will provide assistance to support the Office Manager to ensure the company delivers a Case Management service to our clients that is devoted to the coordination, rehabilitation, care and support of people with complex clinical needs. This will be done within the ethos of the company, which is based also around treating people with kindness, respect, dignity and compassion. Hours are Monday to Friday 9am – 5pm.

Roles & Responsibilities

The role:

  • You will represent the company in a positive and professional manner in your role as Case Management Admin Assistant
  • You will be expected to maintain any training requirements commensurate with your role.
  • Assist with the general day to day running of the service by being a central point of contact for the Office Manager, Case Managers, Clients, Families, Support teams, Professionals and External Agencies
  • General office duties e.g. answering the office phone line during office hours and directing messages as required, including dealing with post, scanning and electronic filing
  • Provide administration services to Case Managers and Assistant Case Manager as required which vary in range and are dependent on the client’s needs, for example sourcing suitable and reputable tradespeople for home maintenance jobs or booking client holidays, this also may extend to minute taking at MDT meetings
  • Take a lead role in assisting the Office Manager and Assistant Case Manager with recruitment administration for support staff, ensuring CQC compliance standards are met
  • To complete regular data inputting via Case Management system Qunote, ensuring data is input in a timely manner to achieve invoicing deadlines
  • Assist as required with client and company purchases, by following the company’s financial recording procedures
  • Monitoring and co-ordinating staff training in line with CQC compliance standards, including organising face to face and online training as required, and ensuring accurate records are kept
  • Assist Office Manager as required to increase company efficiency and compliance by ongoing monitoring and auditing, including the ability to use Excel to complete the associated tasks
  • Responsible for supporting the Office Manager and Case Managers with managing a portfolio of clients, maintaining and building solid working relationships
  • Ensure a high-level of client satisfaction is achieved through effective relationship management
  • Ensure that the responsibilities to maintaining safeguarding is integral to all activities follow safeguarding guidelines closely and ventilate any concerns to colleagues

About you:

  • Experience working in a similar role within Care, Administration or HR
  • Excellent organisation and attention to detail
  • Able to maintain a positive problem-solving approach
  • Able to display a flexible and engaging approach
  • Be able and willing to work using own initiative but also take direction and work collaboratively as part of a team
  • Be resourceful, self-motivated and calm
  • Effective communication skills and good written skills to facilitate the documentation of accurate records
  • Able to demonstrate a positive interest and attitude to your work
  • Good sense of humour, dedication, flexibility, professional, respectful, adaptable
  • Previous experience required in a HR or Recruitment administration role/environment would be beneficial but not essential
  • Preferred knowledge of case management or health and social care industry
  • Previous experience of working in an administrative based role and ability to use ITC and MS Office to a high standard is required
  • Excellent references and enhanced DBS
